This policy explains the information HE Supply uses to operate business accounts, respond to supply requests, prepare quotes, process orders and support the commercial relationship.
1. Information HE Supply collects
HE Supply collects information that is needed to create and operate a business account and carry out the services you ask HE to provide.
Account and contact information
- Name, business email and authentication/account identifiers.
- Contact information you choose to provide, such as a phone number.
Business information
- Business name, legal business name when provided, business type, website and related profile information.
- Business delivery addresses and address labels stored in your account.
Commercial records
- Supply requests, requested quantities, reference details and customer notes.
- Quotes, pricing, taxes, delivery details, order status and fulfillment records.
- Communications or support records connected to your HE Supply relationship.
Tax-exemption information
- Jurisdiction, exemption type, tax identifier, exemption documentation, signature information and review status when you submit an exemption.
Technical information
HE Supply and the infrastructure providers that operate the site may process technical records such as IP address, browser or device information, request logs, security events and similar information needed to deliver, protect and troubleshoot the service.
2. How HE uses information
HE Supply uses account and business information to:
- create, authenticate and manage HE Supply accounts;
- respond to supply requests and prepare quotes;
- create and manage orders and delivery records;
- process or reconcile payments;
- evaluate tax-exemption submissions;
- communicate about requests, quotes, orders, account changes and security;
- prevent fraud, abuse and unauthorized access;
- maintain business, tax and transaction records; and
- troubleshoot and improve the reliability of HE Supply.
3. Service providers
HE Supply uses established service providers for specific parts of the platform. Current core providers are:
- Supabase ↗ for authentication, database services, private storage and server-side functions.
- Vercel ↗ for website hosting and delivery.
- PayPal ↗ for checkout and payment processing when payment is available.
Those links open each provider's own privacy information. Providers may process information on HE's behalf or under their own applicable terms and privacy notices when their services are used.
4. Tax documents
Tax-exemption records are private business records. HE may collect and retain exemption certificates and related information when a customer asks HE to treat a qualifying purchase as tax exempt.
HE limits access to tax documents according to the account and business role that needs the record. Normal account screens mask tax identifiers where full display is not needed.
5. Payment information
HE Supply uses PayPal for checkout when payment is enabled. Card entry is handled through PayPal. HE Supply does not receive the complete card number through this checkout.
HE may retain payment-related records such as provider order or capture identifiers, transaction amount, status, quote reference and timestamps needed to reconcile an HE Supply order.
7. Retention
HE keeps account, commercial, tax, payment and security records for as long as reasonably needed for the business purpose for which they were collected, applicable legal or tax requirements, dispute handling, fraud prevention and recordkeeping.
Different business records can require different retention periods, so HE does not apply one blanket timeline to every category.
8. How HE protects information
HE protects account, commercial and tax information through controls built around who should be able to access each record and what they are allowed to do with it.
- Authenticated account boundaries and database access controls separate customer and staff records.
- Staff permissions are limited by role for protected business functions.
- Sensitive tax documents use private storage rather than public file access.
- Protected payment and commercial actions are checked on the server before they are finalized.
- Payment-card entry is handled by PayPal rather than being collected directly by HE Supply checkout.
HE reviews these controls as the platform changes and updates them when the operating system or risk changes.
9. Privacy questions and requests
Depending on applicable law and the nature of the record, you may have rights relating to personal information. HE may need to verify the requester and retain information that cannot lawfully or reasonably be deleted from an active commercial, tax, security or transaction record.
